Protocol for Introducing Guests at Toastmasters Events
You are presiding over a Toastmaster event. There are several special guests and various
Toastmasters officers. Want to take the guess work out of the order of who should be
introduced when? You can pull that off by introducing the guests in this order:
- Non-Toastmaster Dignitaries in order of: ministers, government officials (federal then state then local), special guests
- International Toastmaster Officers current, in order of rank, including the immediate Past President and Executive Director
- International Directors current, in order by home Region then all other Regions by numerical name
- District-wide Officers current, in order of rank, including the immediate Past District Governor
- Division Governors current, in order of division name
- Area Governors current, in order of area name
- District-wide officers current, in order of: Public Relations Officer, Secretary, Treasurer, Auditor, Bulletin Editor, Webmaster, Committee Chairs, etc.
- Current visiting District Officers from other Districts in order of rank: all District Governors, then all LGETs, etc.)
- Past International Dignitaries: Past International Presidents first, then Past International Directors, most recent first, then in order of when they were in office
- Past District Governors from your own District, then all past District Governors who are in attendance, most recent first, then in order of when they were in office
- Incoming District Officers
- Chair Person of the event (e.g. Conference Chair)
Note that when introducing, phrase Introductions in the following manner:
- "From city/state/country" (as appropriate, if appropriate)
- Office(s) person holds
- Toastmaster designation (in full)
- Name
- Name of Spouse or guest
Thus, the format is always:
Residence Place - Title - Toastmasters Designation - Name - Spouse/Guest Office/Position - Spouse/Guest Toastmasters Designation - Spouse/Guest Name
- "March-in" in REVERSE order of rank (highest ranking last)
- Introduce from highest to lowest rank
Examples:
1. From Centerville, District Governor, Distinguished Toastmaster, John Doe and his wife Jane
2. From Ontario, Canada, International Director Mary Smith and her guest, Distinguished Toastmaster Jay Johnson (Toastmaster Jay would not be introduced a second time)
3. From Pleasant Valley, District Governor, Distinguished Toastmaster, Lois Harger and her husband, Past International Director, Distinguished Toastmaster, Ron Harger (Toastmaster Ron would not be introduced a second time)
